Why You Should Pass on the Desk Phone

If you've already made the decision to switch to unified communications, congratulations! You're one of the many companies that are seeing the all-around benefits of having a completely connected system. Now you'll have to decide which technology you want to use. Your program will come with email and instant messaging for business. It could have video conferencing or it may be strictly voice. No matter what tools you decide on, you'll need the right equipment for the job. Most are easily done from your computer and you can switch to your smartphone easily.

Most systems, such as ThinkingPhones, have the ability to use their UC solutions on any number of devices. It's just a matter of personal preference. However, some are much more beneficial than others. Smartphones and softphones have advantages that regular desk phones do not.

Cost

Expenses are going to play a large role in any decision you make in the company, especially when it comes to choosing the right communications system. To save on money, you may want to pass on desk phones, which can cost at least $100 per model for basic voice calling, according to BizTech magazine. They're even more expensive if you plan on adding video calls and conferencing capabilities. Softphones, on the other hand, just require an Internet connection. You could use a desktop computer, laptop, smartphone, or tablet to make calls to anywhere with little to no added expenses. Unlike desk phones that will increase your payments with international calling, softphones add no additional costs for long-distance conversations. It may be helpful to include a cellular connection in your Internet-enabled devices to expand their reach, but it's not necessary.

Mobility/Flexibility

If you or your employees are always on the go, it doesn't make sense for you to have an immobile desk phone. You won't be able to receive your office calls if you don't have other devices connected through UC. Instead, choose a softphone for mobile or remote workers. IP telephony allows you to make and receive calls from anywhere you have Internet - or cell service if you choose that add-on, BizTech explained. You can just connect a softphone headset to a computer or laptop, and you'll be ready to go. You can also have an application on your smartphone that will allow calls to come through the Internet as opposed to using cellular data. Desk phones do not have this flexibility. Instead, you and your staff are limited to the office, which can be repetitive and require more work to transition between devices.

Training

As the workforce becomes more mobile and technology-savvy, softphones are gaining popularity. According to a Frost & Sullivan survey of more than 1,000 IT decision-makers, desk phones are losing steam. To get your workers acquainted with the new system, you'll be required to train them. However, once you do, your company will be ahead of its competitors. Even though it could take up time and money, you'll be happy you made the transition. Before you make the complete switch, get your employees on-board first, TechTarget explained. Desk phones are the norm. It's what people have used most of their lives and your staff may be unwilling to part from that. Once you explain the financial and technological benefits to them, they'll come to understand why UC is the right move.

Mobility and cost are essential to any company-related decision. With the flexibility of smartphones and softphones, your corporation will be ready to take on any business that comes its way.
